    Police Check Requirement Guide & Upload Form

    This guide will walk you through step-by-step to determine the what kind of check you are required to submit. If you already have the correct documentation you will be prompted to upload a digital copy of your document(s). If you need to obtain any documentation, the guide will indicate the which you need to obtain and upload.

    If you have had police checks done in the past but don't have copies that you can provide, you will have to obtain new checks.

    Please do not send police checks or provide updates by email to the office. Use this guide to:

    1. Upload all documents (police checks or letters)
    2. Provide all updates to the office on the status of your application.

    You must have your Enhanced Criminal Record Check (ECRC) verified according to the requirements available on the Abuse Prevention Policy page (link above).

    Ensure that you upload both the rejection letter from the police and a copy of the application letter drafted by your serving church or ministry.

    If you have not already provided the rejection letter from the police and the application letter drafted by your serving church or ministry, please upload them along with your board letter.

      • Apply through your local police department (e.g., Calgary Police Service, Edmonton Police Service). Some departments, like Calgary, require an online application for a Police Information Check with Vulnerable Sector Check.
      • You will need to provide two pieces of government-issued ID and proof of address.
      • Your serving church will need to provide a letter confirming the position involves vulnerable populations; please use the template provided.
      • Fees vary by police department (e.g., $50–$70 in Calgary; check local police websites), if you are a volunteer you may have reduced fees.
      • Fingerprinting may be required to verify identity if your name or date of birth matches a record in the RCMP database. Fingerprinting may be done by appointment, contact your local police department to verify.

      Your serving church should be able to guide you through the process, however, here is some information that may help you obtain a Vulnerable Sector Check.

      • VSCs are managed by the Criminal Records Review Program (CRRP), not at your local police station. You can apply online using a BC Services Card Login which verifies your ID. If you don’t have a BC Services Card, you can still apply online with two pieces of government-issued ID.
      • Use the template letter provided to have your serving church or ministry write the letter used to apply.
      • Fees are $28 for volunteers and $56 for employees (as of 2025)

      Your serving church should be able to guide you through the process, however, here is some information that may help you obtain a Vulnerable Sector Check.

      • Apply through the Winnipeg Police Service (WPS) if you reside in Winnipeg; otherwise, contact your local police department. Winnipeg offers online applications. You will need to provide two pieces of government-issued ID. For Winnipeg, you must be a resident.
      • A letter from your serving church or ministry may be required for volunteers - please use the template provided. Manitoba residents also need a Child Abuse Registry Check for roles involving children.
      • Fees will vary by police department; Winnipeg charges around $50–$70, with reduced fees if you are a volunteer.
      • If you are a Winnipeg resident, you can apply online at www.winnipeg.ca or in-person at WPS Headquarters (by appointment). If you reside outside of Winnipeg, contact local police. You may be required to provide fingerprints for verification.

      • Apply through your local police department or the Royal Newfoundland Constabulary (RNC) if in their jurisdiction (e.g., Fredericton). Online or in-person applications are available depending on the police department. Visit your local police website to find out if you can apply online or need to apply in person.
      • You must provide two pieces of ID, and one must be government issued with a photo, as well as proof of address (utility bill or bank statement).
      • You may need to provide a letter from your serving church or ministry. Please use the template provided.
      • Fees are approximately $20-$50 and if you are a volunteer you may have a reduced fee.
      • Processing time is approximately 15 business days.

      • Apply through the Royal Newfoundland Constabulary (RNC) if you reside in their jurisdiction (Northeast Avalon, Corner Brook, Labrador West). Online or in-person applications require a completed Criminal Record Screening Certificate and/or Vulnerable Sector Check form.
      • Only residents of RNC jurisdictions can apply through RNC either online at www.rnc.gov.nl.ca or in-person at an RNC detachment.
      • You will need to provide two pieces of ID, and one must be government issued with a photo, as well as proof of address (utility bill, bank statement).
      • Your serving church must provide a letter confirming your position involves vulnerable persons; please use the template provided.
      • Fees are $20.
      • Processing time is 15 business days. You may be required to provide fingerprints for verification.

      • Apply through your local police department (e.g., Halifax Regional Police). Most departments offer online or in-person applications. A Child Abuse Registry Check is also required for roles involving children. Check your local police department website.
      • You must provide two pieces of government-issued ID and proof of address.
      • A letter from your serving church or ministry may be needed to confirm the role. Use the template provided.
      • Fees will be approximately $30-$60 and will vary by police department. If you are a volunteer, there may be a reduced rate.
      • Processing typically takes 10–15 business days. Ensure the VSC is specific to your serving church or ministry by using the provided template.

      • You will need to provide two pieces of government-issued ID.
      • If you are a volunteer, you will need a letter from your serving church or ministry to waive fees for Criminal Record Checks or Judicial Matters Checks. Please use the template provided.
      • Fees are $20-$65 for a Vulnerable Sector Check, but volunteers may have a reduced rate or no fee.
      • You may be required to provide your fingerprints for verification.

      • You will need to provide two pieces of ID and proof of address. The letter from your serving church or ministry must specify the need for a check involving vulnerable persons; please use the template provided.
      • Fees will vary throughout the province, approximately $30-$60 and volunteer fees may be reduced.
      • Checks may include searches for pardoned offences if authorized. Processing times are approximately 10–20 days.

      • Apply online via BC Services Card portal (organization invite/link); in-person at local police (e.g., Vancouver) or RCMP; third-parties (e.g., Commissionaires).
      • You will need your BC Services Card for online; 2 forms of ID.
      • Fingerprints may be required if results are inconclusive
      • Processing time is up to 15 business days
      • Cost is approximately $25–$50, with an additional $25 fee if fingerprints are needed.

      • You will need to provide proof of Canadian residency, two forms of ID and credit authentication online.

      • You will need to provide proof that you reside in your jurisdiction 2 forms of ID, consent, online requires credit authentication.
      • Processing time is approximately 7–10 business days
      • Cost is approximately $10–$35 and volunteers fees may be discounted. An expedited option is available for a $100 fee.
